
Reserve Meeting Space
PMA has arranged several ways that you can reserve space for private meetings or entertainment:
- Industry meeting rooms at the convention center available during the day for a modest administrative fee
- Hotel meeting rooms
Industry Meeting Rooms
PMA has reserved meeting rooms in the Orange County Convention Center for small affiliate groups with up to 25 participants. Requests are handled on a first-come, first-served basis. Meetings with 12 or fewer participants will have conference table seating. Meetings with 13-25 participants will have u-shape seating. Rooms may not be used in lieu of exhibit space or for meetings that take buyers off the show floor for an extended period of time. Rooms are available for Fresh Summit exhibitors and attendees that have at least one person registered for the Value Package.
Availability
Meeting rooms are available:
Friday, October 24 through Monday, October 27.
They may be reserved for a maximum of 4 hours per day, per company
From 8 a.m. to 12 p.m. or 1 p.m. to 5 p.m.
Costs
The cost is $225.00 (administrative fee) per day, 4 hour limit per company per day. Billing and payment arrangements for food and beverage or audio visual equipment will be determined by the individual contractors if those services are requested.
How to Reserve
Complete an Industry Meeting Room Form and fax it to Belinda Keota at +1 (302) 731-2409. Full refunds minus a $75 processing fee will be made for cancellations received on or before October 6, 2008. Cancellations received after October 6, 2008 will not receive a refund.
***Reservations will be accepted via fax and email until Friday, October10, 2008 after which you may sign up on-site starting October 24, 2008 at Information Desk 2 located on Level 1.***
Hotel Meeting Rooms
PMA recognizes that many organizations opt to hold internal sales and other small meetings in conjunction with Fresh Summit. If PMA does not need it for official association functions, we will release hotel space, as requested, for convention affiliate exhibitor and attendee functions. Advance approval by PMA is required for any affiliated industry group that wishes to use a hotel meeting room. Functions may not conflict with Fresh Summit function times. Hotel meeting space may not be used as an alternative or an addition to booth space on the show floor and no product may be displayed in the meeting space. The penalty for violating this PMA policy is the loss of priority points in future booth selection processes.
Availability
Hours for meeting room use are restricted to the following, unless approved in advance by PMA:
- Friday, October 24, 6:00 a.m. to 1:00 p.m. or anytime after 8:00 p.m.
- Saturday, October 25, 6:00 a.m. to 7:30 a.m. or anytime after 5:30 p.m.
- Sunday, October 26, 6:00 a.m. to 7:30 a.m. or anytime after 7:30 p.m.
- Monday, October 27, 6:00 a.m. to 8:00 a.m. or anytime after 2:00 p.m.

How to Reserve
In order to reserve function space, you must provide the hotel with a PMA-approved Hotel Space Release Form. Once you have received the approved form back from PMA, you may work directly with the hotel to reserve function space.
