Refrigerated Product Shipment and Storage
For best results, assign one company representative to supervise, direct, and keep track of your refrigerated product from the field to your booth. Space on the refrigerated storage trucks must be ordered in advance. Complete the Refrigerated Storage Request Form as soon as you determine the amount of product that you will be sending. All refrigerated product should be sent directly to the Convention Center (see Freight Shipment Addresses) to arrive no earlier than Wednesday, October 22. All product must arrive at the marshaling yard on a secured and tightly wrapped and labeled pallet. Neither PMA nor GES will be responsible for the loss of loose boxes, broken wrapped pallets, or unidentified (with company name and booth number) refrigerated freight.
Label your refrigerated product with the appropriate color-coded refrigerated storage labels that were mailed to you by PMA in July. Be sure that the labels are clearly visible on each pallet and that they indicate the day that you want that product taken out of refrigerated storage for delivery to your booth. Proper labeling of your pallets ensures that your product is delivered to the appropriate location upon arrival. The daily delivery of product from refrigerated storage to your booth must be scheduled onsite in the GES Servicenter; the daily sticker alone will not ensure delivery. If you do not require refrigerated storage and wish for your product to be delivered directly to your booth upon arrival, use the “Do Not Refrigerate” labels.
Tips for labeling and packing your product for safe arrival:
- Place labels and stickers directly on the product boxes and then shrink-wrap. This will prevent labels, stickers, special instructions, and product identification from peeling or falling off.
- Use the Daily Identification Stickers on the case level when shipping product. For easy identification, you should place at least one sticker on each side of the boxes that face the outside of the pallet.
- Never mix booth freight and refrigerated product on the same skid.
- Do not use the refrigerated storage labels on any crated or boxed dry booth freight.

FDA Rules Affect Food Shows
Rules stemming from the Bioterrorism Act of 2002 require all food importers involved in the manufacturing, processing, packaging, or distributing of food and beverage products to register with the U.S. Food & Drug Administration (FDA). The regulations also apply to goods being imported for display only. If exhibitors are not registered, their goods can be held until they come into compliance with FDA regulations.
