Cancellation & Downsizing Policy

Any company submitting written notice of cancellation on or before May 29, 2009, shall receive a refund of all fees paid, minus a $150 processing fee. After May 29 no refunds for cancellation will be issued.

If a company downsizes their space after June 30, 2009, 50% of the booth fee for the downsized portion of the booth will be refunded. After August 31, 2009 no refunds for downsizing will be issued.

Any booth with a balance due after May 29, 2009 is subject to release and corresponding benefits will be forfeited.

PMA Exhibitor Priority Point System Policies

How Points Are Accumulated

Points are awarded as follows:

  • One point is awarded for being in the exposition each year.
  • One point is awarded for each booth unit used (unit being each 10 x 10).
  • One point is awarded for consecutive participation in the show (if you are in this year's show and were in last year's, you will receive one point).
  • Complimentary booth space is not eligible for points.

How Points Can Be Lost

Points can be taken away for the following reasons:

  • Early Tear Down - dismantling a booth prior to the ending of the show on the last show day can lead to a loss of all accumulated points for the year in which the violation occurs.  Exhibitors will receive one warning from a PMA floor manager.  If tear down continues, show management will present them with notification that they will not be awarded priority points for the current show.  Repeat violations can lead to the loss of all points.
  • Solicitation of customers outside the booth area can lead to a loss of all accumulated points for the year in which the violation occurs.  Repeat violations can lead to the loss of all points.
  • Violations of any show rules can lead to the loss of accumulated points, at the discretion of show management.

How Points Are Transferred

Points can be transferred from one exhibiting company to another under the following circumstances:

  • If one exhibiting company acquires another exhibiting company, that company may inherit all points awarded for booth units.*  If the acquiring company was not an exhibitor during the years the acquired company was an exhibitor, the acquiring company may also inherit the points awarded for show participation (years in show and consecutive years in the show).  The points will be transferred upon receipt of written notification on company letterhead from both the acquired and the acquiring company.
  • If an exhibitor was a part of a coalition booth (example: state department of agriculture) and decides to exhibit on their own, they may acquire a portion of the coalition group's points upon written approval of the coalition group.  Since all contracts were signed by the coalition, this is the only way the points may be transferred.

* To qualify under this provision, the acquiring company must acquire the exhibiting company as a going concern; a purchase of all or a portion of the exhibiting company's assets will not suffice to acquire priority points.
