Exhibitor Housing

Fresh Summit exhibitors may begin making hotel reservations on April 1, 2009 – four weeks prior to the opening of general housing on April 29, 2009. Exhibitors will also receive priority on waiting lists for hotels that have already been reserved by sponsors.

Important Information Regarding Hotel Reservations

PMA has received several reports that a wholesaler has been contacting exhibitors to book hotel reservations in Anaheim. While it is not illegal for a travel firm or booking agent to solicit potential customers, it can be difficult to determine the legitimacy of offers from these organizations. Those who opt for alternatives to the PMA negotiated rates may find themselves at risk. PMA cannot ensure the quality of any hotel outside the PMA block and will be unable to assist those who have booked rooms through someone other than the official housing provider. Additionally, shuttle service is only available to those in official PMA hotels. Please follow the reservation procedures provided by PMA to ensure you receive the room rate and service that PMA has secured for Fresh Summit exhibitors.

Confirmation

Confirmations will come from PMA’s housing office along with contact information. Be sure to check confirmations carefully and make any necessary changes immediately. Changes may be made online using the account number and password from your confirmation, faxed, or emailed to pmahousing@expovision.com

NEW! Managing your Room Block

Exhibit Managers wishing to have sole control over the assignment of room nights in their block may contact Expovision to have a Group Block Manager account created. Once this account is created, a login and password will be provided and you may manage your entire room block online. You will have the ability to utilize the rooms in your block as you wish without losing any room nights until the published cut-off date. Cancellations and Changes

The deadline date for all initial name assignments for group room blocks of 10 or more rooms is August 5, 2009. All hotel rooms being held without a name after this date will be released. All deposits on group room blocks of 10 or more rooms are non-refundable after August 5, 2009. All cancellations, date and name changes must be made through the PMA Housing Office and must be received by September 2, 2009. After this date the PMA Housing Office will continue to process reservations and changes subject to hotel availability. Deposits for the cancellation of less than 10 rooms are non-refundable after September 2, 2009.

After reconfirming your departure date at check-in, should you decide to leave early, you will not be refunded any monies. Failure to check-in on the scheduled date of arrival will result in forfeiture of deposit and cancellation of room for the remainder of the stay.
